General Booking, Guarantee, and Payment Conditions for Stays
• These terms and conditions exclusively govern reservations and stays at our hotel, as well as the payment terms for our services.
v General Booking and Stay Conditions
1. Stay conditions, safety regulations, and offered services are detailed in our brochures available at the reception. All information and prices provided on our website "www.hotel-chambord.be" are based on our current rates, and the validity date is mentioned on the tariff.
2. Hotel rooms must be used according to the reserved number of nights. The occupancy of the lodging unit begins at 2:00 PM on the first day of the reserved period and ends at 12:00 PM on the departure date.
3. Reservations made by the client must be confirmed by letter or email. Individual reservations confirmed by the hotel that do not include a guarantee and specific arrival time are held until 6:00 PM on the day of arrival.
4. Options granted by the hotel that are not confirmed and guaranteed in writing by the client within 8 days expire automatically on the 8th day at noon.
5. The list of participants must reach the hotel at least fifteen days before the arrival date.
6. Unless otherwise agreed, the hotel reserves the right to accommodate the client or meeting participants in rooms or meeting spaces of its choice.
7. In case of cancellation of an individual reservation less than 24 hours before the scheduled arrival time, the cost of the night will be charged as a fixed and non-reducible compensation.
- Group or seminar reservation cancellations result in the following charges:
- 45 to 31 days before arrival: 40%
- 30 to 15 days before arrival: 50%
- 14 to 8 days before arrival: 60%
- 7 to 2 days before arrival: 75%
- Less than 2 days before arrival: 100%
8. Early departure of the client before the scheduled end of the stay does not exempt the client from paying for the reserved days and required services. In case of a client's intention to leave without paying the full or partial bill, the hotel has the right to involve competent authorities.
9. Generally, stays exceeding the room's reserved capacity are not allowed. For instance, staying two people in a double room reserved for single occupancy is not permitted. Stays with more than two people in a double room or suite, or more than three people in a room reserved for three, are also not allowed. The hotel can charge the rate for the actual number of people using the room and terminate the client's stay immediately.
10. Guests staying with babies aged 0 to 2 years may request a child's bed, subject to availability, at no additional cost. The maximum number of child beds in rooms is one. Child beds are available upon request, confirmed by the hotel.
v PREPAYMENT & GUARANTEE
• The hotel may require a prepayment guarantee with a credit card for the services requested, according to applicable laws, for the total reservation amount including taxes and possible local taxes and extras. This guarantee may also cover damages or losses caused by negligence or misuse within the premises. In this regard, the hotel may request the client's credit card details to cover outstanding amounts in case of non-payment. Even in the case of accommodation by voucher or prepaid means, this request ensures payment for extra services used and possible damages caused by the client.
v Billing and Payment
1. Room rate billing will be done per day based on the number of nights.
2. Minimum billing per room will be based on the amount of one night or day, considering it ends at 12:00 PM the following day of check-in.
3. Accepted payment methods at the hotel include cash, debit cards (Maestro), and credit cards (MasterCard, Visa, Amex, American Express, CB). Personal checks and vouchers are not accepted.
4. If paying in cash, payments must be in Euros and not exceed 1,000€. Bills must match the amount due.
5. The hotel reserves the right to refuse large-denomination bills for significantly lower amounts.
6. Users must pay for services upon receipt of the bill or as agreed.
7. Consumed or taken items within the room (e.g., towels) will be charged based on the listed prices at the hotel's reception. If items are not present upon checkout, they are considered consumed or taken.
8. Payment: For certain products/services, the Chambord hotel may require an initial payment and/or a payment taken during your travel experience. Initial payments might not be refundable; check the terms before booking.
9. If you suspect fraud or unauthorized use of your payment method, contact your payment provider. In case of more than eight-day stays, the hotel may require weekly payments.
10. Failure to pay the required amount within 24 hours is considered a serious breach allowing the hotel to terminate the contract immediately.
11. Post-mailed invoices are payable within 15 days. Group stay invoices are payable before the group's departure.
12. If using a voucher, the remaining balance will be paid upon receipt of the invoice.
13. Late payments result in an automatic flat-rate penalty of 15%, with a minimum of 50€, and 10% annual interest from the billing date.
14. Belgian law applies to payment actions and disputes. Only the courts of Brussels have jurisdiction.
